WooAI scheduler update — More Flexible Scheduling

We’ve upgraded the WooAI Scheduler to give you granular control over when your AI assistant books appointments. Whether you need to fill your calendar immediately with same-day leads or ensure you have ample prep time, these new settings allow you to fine-tune the AI's logic to match your workflow.

1. Control Your Scheduling Horizon

You can now define exactly how far into the future the AI allows a contact to book.

  • How to use: Use the "WooAI can schedule..." dropdown to set the maximum window the AI can look ahead (e.g., 14 work days).

  • Why it matters: This ensures your calendar fills up sequentially and prevents appointments from being booked too far out, where prospects are more likely to no-show. Note that the system only counts "work days" (days with active working hours).

2. Enable Same-Day Bookings

The most significant update is the ability to handle immediate availability using precise buffers. You can now configure the "With at least..." notice period using days, hours, or minutes.

  • Immediate Availability: Setting this to 0 days allows the AI to offer same-day slots, letting you capitalize on hot leads the moment they engage.

  • Protected Prep Time: selecting specific hours or minutes (e.g., "2 hours") allows same-day bookings but enforces a strict gap before the meeting starts, ensuring you are never caught off guard.

3. Real-Time Visibility

As you adjust your scheduling rules, the system now provides instant feedback.

  • Earliest Slot Indicator: You will see a dynamic timestamp labeled "Earliest" (e.g., Thu, Jan 22, 09:00 AM). This shows you the exact next slot the AI is currently authorized to offer based on your new rules, so you can verify your availability instantly.

4. Intelligent Fallbacks

To prevent the AI from stalling when your calendar is fully booked, you can define specific fallback behaviors.

  • Fallback Action: Under the "If no time slots are available" dropdown, you can instruct the system to "Notify assignee and stop messaging contact." This ensures a human can intervene manually rather than the AI continuing to offer dates that don't exist.
