How to Use WooAutofill

WooAutofill is a smart automation tool that analyzes your conversations and automatically fills in contact fields, applies tags, and generates summaries of your voice calls. This helps keep your CRM data clean, consistent, and up-to-date—without manual entry.


Key Features

  • Channel Selection: Choose which communication channels WooAutofill will monitor (SMS, Email, Live Chat, Facebook, Calls, etc.).

  • WooSummary: Automatically transcribes and summarizes your voice calls, creating note cards you can refer back to.

  • Contact Fields Autofill: Automatically captures details like first name, last name, email, and phone number from conversations.

  • Tags Automation: Assigns tags such as Positive or Negative sentiment to contacts, helping you quickly gauge tone and track engagement.


🚀How to Use WooAutofill

1. Select Channels

  • Check the boxes for the communication channels where you’d like WooAutofill to run (e.g., SMS, Email, Live Chat, Facebook, Calls).

  • WooAutofill will now monitor conversations on those selected channels.


2. Enable WooSummary (Optional)

  • Toggle on Allow WooSummary to:

    • Auto-transcribe your voice calls.

    • Create summarized note cards based on those calls.

  • This helps you capture key insights without needing to review full recordings.

Where to Find Call Transcripts & Summaries

After a call is completed, the transcript and AI-generated summary are automatically saved. You can access them in two main areas:

1.Via the Conversations Tab

  • In the Thread: Go to the Conversations tab and find the chat thread with the contact. Locate the audio player for the call recording and click View Transcript below it to expand the text.

  • In the Notes Panel: On the same screen, look at the right-hand Notes sidebar. You will see a summary note (e.g., "Call with Wootest"); click View Details to read the full context.

2. Via Account Settings

  • Navigate to Settings > Communication > Phone Calls.

  • Click on the Call History tab to see a log of all calls.

  • Locate the specific call, click the three dots (...) on the far right, and select View Call Details.

  • A pop-up window will appear showing the full WooAI Summary and a Transcript tab.

Downloading the Summary

  • While viewing the call details in the pop-up window, you can click the Download Summary button at the bottom left to save a copy of the recap to your computer.


3. Select Contact Fields

  • Under Contact Fields, toggle on Allow WooAutofill to fill fields.

  • Select which fields you’d like WooAutofill to populate automatically (First Name, Last Name, Email, Phone Number, etc.).

  • When Autofill runs, it will extract this data directly from your conversations.


4. Set Tags

  • Under Tags, toggle on Allow WooAutofill to apply tags.

  • Select which tags you’d like applied automatically (e.g., Positive, Negative).

  • Tags help segment contacts and measure sentiment quickly.


5. Save Your Settings

  • Once you’ve chosen channels, fields, and tags, click Save to activate WooAutofill.

  • WooAutofill will now automatically run based on your configuration.


💡 Best Practices

  • Regularly review Tags applied by WooAutofill to refine your sentiment analysis.

  • Keep your Contact Fields selection minimal (only what you need), so your database stays clean and accurate

  • Use WooSummary if you handle frequent calls and want quick, high-level insights.

With WooAutofill, you can reduce manual data entry, improve CRM accuracy, and gain smarter insights from every customer interaction.
